  Collection Development Policy  for Africana
All subject fields, limited to Africa south of the Sahara, are covered in the Africana Collection, but the emphasis is on  the Southern African region with specific interest in material, published or unpublished  pertaining to Pretoria. The Special Collections unit  is concerned with the preservation/restoration of valuable material focusing on the learning and teaching programs of the University of Pretoria and placing them at the disposal of users.
 Collection Development Policy  for the UP Publications Collection

A work and all its future editions in which the name of a UP staff member appears as author, co-author, editor or as author of a part of the work, is purchased on a pro-active basis out of the UP Publications budget.  Works about UP staff members or alumni are also included.  It is library policy for information specialists to assist in identifying UP publications and to bring them to the attention of Special Collections staff.

The same criteria apply to donations. It is library policy that the first copy of a new title donated to the library be given to the UP Publications Collection.

Masters & Doctoral research outputs of UP students are regarded and preserved as special UP Publications. This collection contains a copy of each  dissertation/thesis by Masters and Doctoral students enrolled at all the faculties at the University of Pretoria.

Additions to this collection consist of "high risk" non-Africana books selected by information specialists and of donations in accordance with the criteria set out in the Gift Acceptance Policy.

Collection development policy for the South African Music Collections
Eligible for inclusion in these collections are score sheets in printed or manuscript form emanating from a South African composer or performed by a South  African artist, audio/audio-visual material concerning South African performers and the personal collections, including all forms of memorabilia, of internationally acclaimed South African artists.
  Policy regarding the use of Special Collections
The collections are open for use by researchers of the University of Pretoria.
Private researchers are welcome to use the collections at a fee of R50  per day.
Information resources will only be made available if there are no copies on the open shelves.
Information resources may not be taken out and may only be consulted in the Special Collections study area.
Sections of information resources may be scanned or photocopied within the limits of copyright law provided there is no danger of the process damaging the item.
